Tesco’s plan is to streamline the management of repairs and maintenance for Distribution Centres and in the process, ensure the business relationship with partners is efficient and transparent.

The e-learning book will give role based training on the Verisae Enterprise Asset Management system and its companion mobile application, to process maintenance work orders through to invoice completion for distribution centres. The aims for contractor administrators are:

  • To view the progress and history of work orders relating to your company
  • Submit estimates for work orders
  • To record invoice costs and submit for approval
  • To understand your HMRC responsibilities as part of the self-billing process
  • To be able to add and administer users

For engineers

  • To use the Verisae mobile application to record work performed on site

What’s changed?

The Tesco Verisae self-billing system has been enabled for invoicing maintenance work orders for our Distribution Centres. All work orders for the maintenance of Distribution centres will now be processed through the Verisae self-billing system. This includes Comprehensive contract work orders, Planned preventative maintenance work orders and reactive work orders.

Just as with Store maintenance, work orders and estimates will need to be submitted for approval. There is also a need to maintain a self-billing certificate, to make sure we are compliant with HMRC guidelines. Once the work order has been approved by Tesco, a self-billing Invoice will be generated by the system. This means you should not raise or send any maintenance Invoices, as they have been created by Verisae and automatically sent for payment.

A mobile application will be available to engineers and will replace the need to use the kiosk, to record on site maintenance work. With effect from 27 August you must ensure that you process all invoices via Verisae self-billing to Tesco Maintenance Ltd, who will be responsible for the administration of Distribution Centres and the corresponding payment for work and services completed by you.
